Turning WordPress Contact Forms into a Real CRM

A lead that lands in your inbox and nowhere else is a lead you will eventually lose track of. Here is how to send WordPress form submissions straight into a working CRM, honestly, including the setup step nobody skips for you.

Most WordPress sites have a contact form. Most contact forms send an email and nothing else. That is fine until you have more than a couple of leads a week – at which point "I think I replied to that one" becomes a real risk, and whoever asked about your services three weeks ago quietly becomes someone else’s customer.

This is about connecting a WordPress form to an actual CRM – what that requires, what it is not, and where the effort genuinely goes.

Why an inbox is not a CRM

An inbox has no pipeline, no stage, and no reminder. A lead that has not been followed up in two weeks does not surface itself – it sits, indistinguishable from a lead you already closed, until you happen to scroll past it. The fix is not a better inbox. It is a system where every lead has a status, and a status that has not moved in a while is visible.

What KasbPro’s side of this actually is

KasbPro exposes a lead-capture API endpoint. Any tool that can send a webhook – a name, optionally an email, phone, company and a note – can create a lead directly in the KasbPro CRM, tagged with whatever source you send (so leads from a contact form and leads from a pricing page look different in the pipeline).

Be precise about what exists today and what does not: there is no one-click WordPress plugin that wires this up automatically. Unlike the WooCommerce sync, which has a dedicated plugin, connecting a generic WordPress form to this endpoint takes a small amount of setup on your side – typically one of:

  • A webhook add-on for your form plugin (WPForms’ Webhooks addon, Gravity Forms’ Webhooks add-on, or a Contact Form 7 webhook extension), pointed at the KasbPro lead endpoint with your API key.
  • A Zapier or Make automation: trigger on form submission, action posts to the KasbPro API.

Neither is difficult, and both are one-time setup, but do not expect this to work the moment you install a plugin. It is an API you connect to, not a plugin you activate.

Getting the API key

The key comes from Settings → Integrations inside KasbPro – the same place the WooCommerce plugin key is generated. A key issued from there already includes the scope needed for lead capture, so there is no separate permission to hunt down.

What happens to a lead once it lands

Once a lead is in KasbPro, it behaves like any manually-entered one: it sits in your pipeline, can be moved through stages on a Kanban board, converted to a tracked Deal, quoted with a PDF, and eventually converted to an invoice if it closes. The CRM does not treat API-sourced leads as second-class – the only difference is how they arrived.

What this genuinely fixes, and what it does not

It fixes the "where did that lead go" problem – once captured, a lead cannot silently disappear into an inbox, because it now has a place with a status.

It does not replace judgement about which leads matter. It does not write your follow-up messages, and it does not know that a lead going quiet for two weeks needs a call rather than another email – you still have to check the pipeline and act. A structured system with nobody looking at it is not meaningfully better than an inbox nobody checks; it is just organized neglect instead of disorganized neglect.

Is this worth setting up

If you get more than a handful of inbound inquiries a week from your WordPress site, yes – the setup is a single afternoon and the ongoing cost is zero. If you get one inquiry a month and know every prospect by name, you likely do not need this yet; add it when the volume makes "I’ll remember" stop being true.

On paying for Pro

Lead capture, the full CRM pipeline, quotations and deal-to-invoice conversion are all on the free plan with no cap. The one CRM-adjacent feature behind Pro is an AI coach that reviews your pipeline and suggests who to contact and why – useful if your lead volume is high enough that prioritizing manually is genuinely hard, and not worth paying for before that point.
